Heirmark was established in Kuala Lumpur by a small team with backgrounds in archival organisation and family documentation work. The name reflects the idea of marking — labelling, indexing, and placing — the records that belong to a family's story.
We began by running small inventory sessions for households in the Bukit Bintang and Chow Kit areas, helping families discover that years of accumulated papers could be sorted, labelled, and handed forward with very little disruption to daily life. Word spread slowly and steadily, as it tends to with work that feels personal.
Today, Heirmark offers three structured offerings — a focused session, a small-group workshop, and a multi-week programme — each designed around the pace and scale of the household it serves. Our scope remains educational and organisational. We do not offer legal opinions, assist with asset matters, or engage with beneficiary questions of any kind.
What Guides This Work
Families often come to us at a transitional moment — a parent's illness, the clearing of a family home, the approach of a significant event. We work without urgency, and without judgement. Our role is to help bring order to what a family already holds, not to advise on what they do with it.
The materials we work with — certificates of birth, marriage, and property; old correspondence; family photographs; personal papers — carry meaning beyond their administrative function. We treat them accordingly.
Our mission is straightforward: to help Malaysian families leave behind an archive their children and grandchildren can actually navigate. Not a pile of folders. A labelled, referenced, quietly useful set of records.

Nadia Rahimi
Nadia has spent over a decade working with families and community organisations on personal archiving. She leads the Heritage Records Programme and oversees all session facilitation at Heirmark.
Ahmad Muzaffar
Ahmad coordinates the Heritage Reference Workshops and manages participant communications. His calm approach helps families feel at ease when sorting through decades of accumulated materials.
Liyana Tan
Liyana brings a background in library science and works closely with families on labelling systems, scanning checklists, and the physical organisation of archive materials during multi-session programmes.
Our Standards and Protocols
Complete Discretion
All materials reviewed in sessions remain with the family. We do not retain, photograph, or copy any documents. Session notes are returned to participants at the close of each appointment.
Strictly Non-Advisory
Heirmark facilitators do not offer opinions on legal positions, beneficiary matters, asset division, or any subject requiring professional legal or financial counsel.
Structured Methodology
Each session follows a consistent worksheet framework adapted to the household's materials. Families leave with a clear, reproducible system rather than a one-off sort.
Personal Data Handled Carefully
Any personal details shared during enquiries or sessions are handled in line with Malaysian data protection requirements. We do not share client information with third parties.
Respectful of Materials
Documents and photographs handled during sessions are treated with care. Facilitators follow standard archival handling practices to avoid damage to older or fragile materials.
Paced for Each Family
We do not rush sessions. The multi-week programme is spaced so families can gather materials and reflect between appointments, making the process comfortable and sustainable.

Malaysian households often carry records across multiple generations and scripts — Jawi and Rumi documents, older certificates from state registries, photographs from family occasions spanning decades. Heirmark understands that this variety requires an unhurried, attentive approach rather than a generic filing system.
Our inventory sessions are built around clear, practical worksheets that prompt families to consider what they hold, where it currently lives, and how it should be labelled for future access. The folder kits provided are simple and purposeful — nothing elaborate, nothing that requires specialist maintenance.
The Heritage Records Programme, in particular, was developed for families with a significant volume of materials spread across different members of the household. Multi-week spacing allows for the natural rhythm of family life in Kuala Lumpur, where weekday availability varies and many participants are juggling work alongside family commitments.
Heirmark does not partner with legal firms, financial advisers, or government offices. We are an independent practice focused entirely on the archival and educational dimension of family records. Families who need legal or financial guidance are encouraged to seek qualified professionals for those matters separately.
